How Eureka Main Street Made the Case for SeeMyLegacy and Won

To bring SeeMyLegacy on board, Eureka Main Street's director had to make the case directly to her board: articulate the exact use cases, show the time it would save, and weigh that against the cost of the platform. The pitch worked. Since then, Eureka has cut volunteer coordination time from six hours to one or two, brought in new sponsors and volunteers they'd never reached before, and tapped into a nationwide network of Main Street ideas to keep expanding their programming. Today, SeeMyLegacy runs everything from Eureka's multi-block 4th of July festival to its weekly business promotions.

Why Eureka Main Street Partnered with SeeMyLegacy

Prior to SeeMyLegacy, Eureka Main Street managed everything by hand, across whatever tool happened to fit that week.

Sponsorships and volunteer coordination were the first things to suffer. With one person running the organization, some efforts simply didn't happen.

"Before SeeMyLegacy, we were scattered in all kinds of different spreadsheets, Google Docs, and Google Forms."

"We had been lacking in sponsorships and volunteer signups. For large events, gathering all of that could be overwhelming, especially when you're one person trying to do that and run the organization too. Having it all in one place, where people can just click and sign up, we've been able to get sponsorships we probably wouldn't have gone after otherwise."

Time Back, Measured in Hours

The clearest before-and-after is volunteer coordination. What used to take a six-hour shift to staff now takes one to two hours

That time and cost savings is easy to explain to a board or a skeptical peer, because the price is small next to what it replaces.

"It's changed a six-hour volunteer shift into a one or two hour volunteer shift. And the more it makes people excited to be involved."

"Even if you just did the very basic stuff, the amount of capacity it builds alone is worth it. Depending on what you drive, that's like a tank of gas."

Part of a Bigger Community

Eureka also draws on SeeMyLegacy's network of other Main Streets and communities for ideas, borrowing campaign formats that have already worked elsewhere.

"SeeMyLegacy is basically helping Main Streets nationwide, so in a way it's a community. We can go see what other people are doing. We're in R&D: rip off and duplicate."

Reaching Sponsors and Volunteers They Didn't Know Before

Once campaigns were live, Eureka started hearing from people who'd never been on their radar. One sponsor set up a recurring $10 monthly gift on his own, without ever being asked directly.

Breaking the Fourth of July event into scheduled volunteer time slots made it easier for people to say yes to a smaller commitment, and automated reminders meant nobody had to be chased down the day of.

"We've had new volunteers for sure. People neither one of us knew at all."

"The email that reminds them, hey, you're doing something today, that is one less thing I have to do."

Turning "No One RSVPs Anymore" Into Real Numbers

For Eureka's annual meeting, the team could finally see, in real time, who had signed up.

"It's been such a struggle before, even just to know who's coming. No one RSVPs anymore for anything, so the fact that people go on and RSVP, I'm really excited about."

Making the Case to the Board

Getting the board on board meant leading with value, not cost. Amanda built her pitch around Eureka's 2026 goal of growing revenue, and framed SeeMyLegacy as one of the systems that would help get there. She pointed to the platform's track record with Main Streets nationwide, noting it had caught the attention of major supporters of small towns, including Coca-Cola, and walked the board through exactly what would move online: vendor sign-ups, volunteer time slots, sponsor payments and future opportunities, and waivers collected right at the point of registration.

She was direct about what that would save. Chasing down vendors, sponsors, and volunteers, and the back-and-forth communication that came with it, had been eating significant time. A dedicated rep would build the system to Eureka's own branding, and a limited-time subscription rate created a clear reason to act rather than wait for the next scheduled board meeting. The board approved it by email vote, unanimously.

"You cannot close a sale if you don't provide value. We had to show the board, here's everything this does for us, and here's what we need it for. And it was a unanimous yes."

Part of that pitch was naming the real cost of doing things the old way, including how much of the organization's volunteer work was falling on their executive director. Without the volunteer help they needed, Amanda and her family stepped up to make sure the events ran smoothly. Now, they have plenty of volunteers to help make their programs a success.

"Every event, we have more and more volunteers. So it was pushing the reality of, hey without SeeMyLegacy, these events are falling on just one person. Being able to have RSVPs, being able to push out and see what other Main Streets are doing, that's what made the difference."

One Platform for Eureka's Entire Calendar

Eureka now runs its full year of programming through SeeMyLegacy, not just its two biggest events:

🎆 Signature Festivals: Eureka's 4th of July Festival, Main Street Spring Festival, Rhody Parade, and Taste of Main Street each combine sponsorships, vendor registration, and ticketing in one campaign.

🙋 Volunteer Programs: 4th of July shifts, the Rhody Parade walking group, and Decorate the Old Town Gazebo all run on scheduled, self-service signups.

🛍️ Shop Local Campaigns: Pre-Market Shoppy Hour, Dine In Eureka, First Saturday Night Arts Alive, and Holiday Shop & Stroll are all built to send foot traffic straight to Eureka's local businesses, turning community engagement into direct downtown sales.

🤝 Committee Sponsorships: Economic Vitality, Design, Promotion, and Organization committees each have their own campaign, giving the community a direct way to fund Main Street's board-led work.

🎃 Seasonal Traditions & Contests: The Great Pumpkin Hunt, Holiday Window Display Contest, Downtown & Old Town Trick-or-Treat, Holiday Shop & Stroll, and Snowball Drop keep Eureka's storefront traditions running every year.

🎨 Business & Community Programs: First Saturday Night Arts Alive, Dine In Eureka, Affiliate Membership, and the Main Street Board Application round out a calendar that touches nearly every part of the organization.

From festivals to committees to seasonal traditions, Eureka now runs its calendar in one place instead of piecing it together program by program.

Data That Stays With You

Before SeeMyLegacy, institutional knowledge lived in spreadsheets, inboxes, and whoever ran the event last time. When a volunteer or board member moved on, sponsor lists and vendor contacts often went with them, and every initiative risked starting from scratch.

Now, that history stays put. The whole team can see who has supported them before and what worked, so sponsor, vendor, and volunteer relationships carry forward from one event to the next instead of resetting every time.

"You own the information that comes in. It doesn't just go into the ether."

—Kristen Collins
Board President of Eureka Main Street

That continuity is what turns a single successful event into a repeatable one. Instead of starting over each year, Eureka builds on what it already knows.
