Sponsor Follow-Up Email Examples
Every sponsorship campaign on SeeMyLegacy sends an automatic follow-up email after a sponsor completes their purchase, and you can customize that message. Browse the examples below, pick the one that fits your campaign, and make it your own.
⚙️ Two Ways to Customize Your Follow-Up Email
You can add your message in two places: once for the whole campaign, or separately for each sponsorship option. Use one or both, depending on how much your sponsor levels differ.
1. For the Entire Campaign
What it is: One message included in the confirmation email sent to every sponsor, no matter which sponsorship option they choose.
Best for: A community-wide thank-you, general information, and reminders or details that apply to everyone.
Where to find it:
- While creating or editing your campaign, go to Notifications.
- Click Customize Email for Participants.
- Add your custom message.
2. For a Specific Sponsorship Option
What it is: A targeted message sent only to sponsors who choose that specific option, such as a sponsorship tier.
Best for: Tier-specific next steps, thank-yous tailored to each sponsorship level, and details that vary by option (like logo or banner instructions).
Where to find it:
- Open the Participation Option editor for that sponsorship option.
- Click Customize Email for Participants.
- Add your custom message.
Tip: Put shared details in the campaign message and save the option messages for what is unique to each level. For more detail, see How to Customize Participant Emails in Your Campaign.
📍 Start Here: How to Use These Examples
Copy the example closest to your campaign, replace the [bracketed placeholders] with your own campaign details (the same message goes to every sponsor, so keep it general rather than naming anyone), and paste it into your follow-up email (see Two Ways to Customize Your Follow-Up Email above). Read it once as if you were the sponsor before saving. Mixing and matching paragraphs between examples works well too.
💡 Tips for a Great Follow-Up Email
The best follow-up emails are short, warm, and tell the sponsor exactly what happens next.
- ✅ Say thank you first. The sponsor just made a commitment to your community; lead with gratitude.
- ✅ Tell them what happens next. Logo due dates, banner install timing, event check-in, or when they'll hear from you again.
- ✅ Name one real person to contact. A name, email, and phone number beats a generic inbox.
- ✅ Connect the gift to impact. One sentence on what their sponsorship makes possible goes a long way.
- ✅ Keep it short. Three or four short paragraphs is plenty; the receipt details are already handled by the system.
- ✅ Invite them to share. Sponsors love being recognized, so give them an easy way to post about it.
